Small entries, kept every month, prevent big problems
Most bookkeeping problems start small: a receipt that never reached the file, a card payment left uncoded, a supplier paid twice. Left for a few months, they turn into a VAT return that does not match the bank, input tax you cannot support with a valid tax invoice, and a year-end that takes weeks to unpick. For a startup or SME without a finance team, the day-to-day recording is usually the first thing to slip.
Smartgic takes the routine off your desk on a fixed monthly scope. You photograph or forward receipts and invoices; we capture them, code them with the right VAT treatment, reconcile every bank and card account, track petty cash and keep customer and supplier ledgers current. If you are still on spreadsheets, we set up cloud accounting software and migrate your history, so the records sit in one place and stay up to date.

What you gain with Bookkeeping Services
The practical difference when the work is planned and filed properly the first time.
Receipts Captured at Source
Forward or photograph a receipt and it is recorded against the right account, supplier and VAT code, with the image attached.
Reconciled to the Bank
Every bank, card and payment gateway account is matched line by line, so the ledger agrees with the statement each month.
Petty Cash Under Control
Cash spending is logged against receipts and the float is reconciled each month, so small expenses stop disappearing from the books.
Clear Customer & Supplier Ledgers
You can see who owes you, whom you owe and what falls due next, without digging through emails or bank statements.
Software Set Up Properly
We configure cloud accounting software with your chart of accounts, VAT codes, bank feeds and invoice templates, or migrate you from spreadsheets.
Fixed, Written Scope
Transaction volume, accounts covered and monthly outputs are agreed in writing, so you know what is included before the month starts.
A clear process, step by step
One adviser owns your file from first call to completion, and you always know which step you are on.
- 01
Scope & Volume Review
We look at your bank accounts, typical monthly transactions, sales channels and VAT status, then agree a fixed scope and the documents you will send each month.
- 02
Software Setup or Migration
We set up cloud accounting software — or tidy the one you use — with your chart of accounts, VAT codes, bank feeds and opening balances, migrating spreadsheet history where needed.
- 03
Ongoing Capture
Throughout the month you forward invoices and receipts; we record sales, purchases and expenses, attach the source documents and query anything unclear while it is still fresh.
- 04
Monthly Reconciliation
At month-end we reconcile bank, card and petty cash balances, update customer and supplier ledgers and send you a short list of open items and missing documents.
- 05
VAT-Ready Handover
Each VAT period ends with reconciled ledgers and a VAT report ready for the return, which is due by the 28th day after the period ends.

Bookkeeping Services questions
Straight answers to what clients ask us most. If yours is not here, ask us directly.
They record your sales, purchases and expenses from the source documents, apply the right VAT treatment, reconcile every bank, card and petty cash balance, and keep customer and supplier ledgers current. The output is a set of books that agrees with the bank, plus a list of missing documents and open items for you to resolve.
Yes. The Commercial Companies Law and free zone regulations expect companies to keep proper accounting records, the VAT Law requires records that support every return, and the Corporate Tax Law requires records to be kept for at least seven years after the end of each tax period. Bookkeeping is how those records are created and kept in order.
Yes. We help you choose a mainstream cloud accounting platform that suits your volume and VAT needs, set up the chart of accounts, tax codes and bank feeds, and migrate opening balances and useful history. If mandatory e-invoicing will apply to you, we also check that the platform can work with an Accredited Service Provider.
Through whichever channel is easiest for your team: forwarding to a dedicated email address, uploading through the accounting software’s app, or a shared folder. What matters is that documents arrive during the month rather than in a bundle at the end, so queries can be answered while people still remember the transaction.
Bookkeeping produces the reconciled VAT report the return is built on. Filing is a separate service: we can prepare and submit the return through your EmaraTax account by the 28th day after each period ends, or pass the report to whoever files for you. Either way, the figures come from ledgers that already agree with the bank.
Usually when you need more than accurate records: reviewed monthly management accounts, year-end IFRS statements, audit preparation or a corporate tax computation. Many businesses make the move when they register for VAT, or when a free zone, bank or investor first asks for audited accounts.
